Terms and Conditions for Olo ROPA Safaris

Oloropa Terms and Conditions

Accommodation:
Hotel/lodges are categorized as an indication of class, and rooms will be reserved at respective hotels/lodges.

Payment:
A deposit of 40% is required on bookings of any tour arrangement; the balance is to be paid before the commencement of the tour. The deposit may be forfeited in case of cancellations and amendments due to bookings already made at respective lodges/hotels/camps.

Transportation & Driver/Guides:
Transport will be in cars, safari minibuses, tour vans, land cruisers, or coaches depending on the agreement and according to the route and the number of clients. The company reserves the right to employ the services of subcontractors. Trained English-speaking drivers/guides are provided unless any passenger specifically requests a professional courier, in which case an extra charge will be levied.

Alteration to Tours:
The company reserves the right to alter route arrangements or cancel the operation of a scheduled tour should conditions necessitate such changes (e.g., weather, or political issues).

Liability:
The company and its agents act only as agents of the passenger in all matters relating to tours. Traveling hazards may inevitably give rise to some risks and dangers, including travel by boat, train, road, and other vehicles, aircraft, and other means. Hazards may also arise from the forces of nature, political unrest, accidents, or illness in remote areas without immediate evacuation or medical facilities. The company’s liability to passengers is dictated by the appropriate laws of the country in which the tour takes place. However, the company accepts no responsibility for any personal illness, injury, delays, loss, or damages from any cause whatsoever. Passengers are advised to take adequate insurance against such risks. Our staff will be available to provide information on local services.

Cancellation Policy:

Cancellation by Customer:

  • More than 30 Days Before the Event: Full refund of any money paid.
  • 15 to 30 Days Before the Event: 50% refund of any money paid.
  • 14 – 9 Days Before the Event: 25% refund of any money paid.
  • 8 – 3 Days Before the Event: 15% refund of any money paid.
  • 2 – 0 Days Before the Event: No refund.

No-Show Policy:

  • If a customer does not show up for the event without prior cancellation, the same policy as “2 – 0 Days Before the Event” will apply, meaning no refund will be given.

 

Cancellation by Oloropa:
In the event of cancellation due to force majeure (e.g., natural disasters, acts of God, or government restrictions), Oloropa will offer a rescheduled date at no additional cost or a full refund.

Non-Refundable Deposits:
Certain events may require a non-refundable deposit. This will be communicated at the time of booking. Non-refundable deposits are not eligible for refunds under any circumstances. The deposit may be forfeited in the case of cancellations or amendments due to bookings already made at lodges, hotels, camps, parks, or for any rental services. Receipts for the bookings will accompany this.

Refund Process:
Refunds will be processed within 14 business days of the cancellation confirmation. Refunds will be issued using the original method of payment.

Modification of Reservation:
Any changes to the reservation date or time requested by the customer may incur a fee, subject to availability and at the discretion of Oloropa.

Notification of Cancellation:
All cancellation requests must be submitted in writing via email to info@oloropasafaris.com or by calling 0745713748.

Special Requests:
All special requests must be notified in writing when the booking is made. This may include single rooms, dietary needs, infants, physically challenged persons, etc. While the company will endeavor to meet such requests, they cannot be guaranteed, and failure to fulfill them will not be considered a breach of contract.

Complaints:
It is the sincere hope of this company that our clients will not encounter any problems during their holiday. However, should any arise, please immediately advise any of our staff about the service in question, as most problems can be resolved straightaway. The company will only accept complaints notified by this clause.
